Why Does an Email Signature Matter?
Your email signature is more than just your name at the bottom of an email; it helps you communicate professionally and clearly. Think of your email signature as a digital introduction at the end of every message you send.
As a Highlands College student, a professional email signature helps:
- Instructors know who you are
- Classmates recognize you
- Create professional communication habits
- Keep your emails clean and organized
- Represent Highlands College well
What Should Be Included in Your Signature?
A simple and professional student signature usually includes:
- Your full name
- Your program or major
- Your graduation year, if applicable
- Highlands College
- Your Highlands College email address

How to Create an Email Signature in Outlook
Step 1: Open Outlook
Visit Outlook and sign in using your Highlands College email account.
Step 2: Open Settings
In the upper-right corner of Outlook:
- Select the Settings gear icon.
- Select View all Outlook settings.
Step 3: Open Signature Settings
In the Outlook settings menu:
- Select Mail.
- Select Compose and reply.
Step 4: Create Your Signature
Type the signature you would like to appear at the bottom of your emails.
Keep your signature simple, clean, and easy to read. Avoid using large images, bright colors, decorative fonts, or personal quotes.
Step 5: Automatically Add Your Signature
Select the following options:
- Automatically include my signature on new messages
- Automatically include my signature on replies and forwards
These settings will automatically place your signature at the bottom of your emails.
Step 6: Save Your Signature
- Select Save.
- Close the settings window.
- Create a new email to confirm that your signature appears correctly.
